IT management without financial control is navigating without a compass. GLPI offers native modules for contracts, budgets, vendors and depreciation — all integrated with assets and tickets.
Contracts
Go to Management > Contracts to record:
- Basic data: vendor, type (support, maintenance, license), contract number
- Validity: start date, duration, renewal periodicity
- Values: total cost, payment periodicity
- Contractual SLA: response and resolution times agreed with the vendor
- Covered assets: link computers, servers and other items to the contract
Expiry alerts
Configure under Configuration > Notifications:
- Alert 90 days before: "Contract X expires in 90 days – start renewal negotiation"
- Alert 30 days before: "Contract X expires in 30 days – renewal pending"
- Alert on expiry: "Contract X has expired – assets without coverage"
Vendors
Under Management > Suppliers, register each vendor with contact details, associated contracts and service history. Link to assets and tickets for full traceability.
Budgets
Under Management > Budgets, define:
- Total value: approved budget for the period
- Period: annual, semi-annual or per project
- Consumption: link contracts and purchases to the budget to track actual vs planned spending
Financial information for assets
Each asset in GLPI has a Management tab with:
- Purchase value and acquisition date
- Useful life and depreciation method
- Current book value (calculated automatically)
- Warranty: vendor, duration, expiry date
- Linked contract
Financial reports
- Assets by value: total investment in hardware by location/entity
- Contracts expiring: list of contracts close to expiry
- Depreciation: book value of the asset fleet over time
- Cost per service: contract value ÷ number of tickets handled
